Administration and Production Assitant
Responsabilities
At NX, we are looking for a Production and Administration Assistant to join our team. The selected candidate will be responsible for the following:
- Ensure the proper functioning and coordination of operational and administrative processes within the company.
- Provide key support in managing orders, logistics, sales, purchasing, and finance.
- Optimize workflow between departments, acting as a fundamental link between different areas.
- Facilitate communication to ensure daily operations are executed accurately and in a timely manner.
Tasks
Order management:
- Handle order generation and file the corresponding documentation.
- Update databases for shipment tracking, orders and customer order generation.
- Coordinate with the Sales department to manage the planning of Testing Services and request shipment to customers.
- Generate labels.
- Handle customer shipments.
Support to Sales Department:
- Assist in the creation of KPIs, market studies, non-strategic customer management and meeting preparation.
- Track support hours dedicated to each customer and update the time-tracking tool.
Support to Purchasing Department:
- Manage tracking of pending purchases and place orders for office supplies.
- Receive, review and file supplier invoices.
Support to Finance Department:
- File invoices for submission to the accounting firm.
- Prepare payment files.
- Monitor customer payments.
- Follow up on overdue invoices.
- Assist in the collection and preparation of financial documentation for grant management.
- Manage bookings and coordinate company travel and trade shows.
- Support the monitoring and generation of reports on hours allocated to projects according to the existing tool.
Requirements
You will be a good fit for this position if:
- You are a recent graduate with a degree in Executive Assistance (ISSA)/Applied Management or have completed an apprenticeship in Finance and Administration.
- You are an organized and proactive problem solver.
- You feel comfortable communicating in English.
- You are proactive and driven by continuous improvement.
- You work with attention to detail and responsibility to ensure quality delivery to third parties.
